Privacy policy
How we collect, use, and protect the information you give us.
We collect only what each form needs to work, we don’t sell your data, and you can ask us to access, correct, or delete it at any time. See below for the full detail, or contact us directly with any question.
What we collect
We only collect what a given form actually needs to work:
- Player and member registration: full name, date of birth, gender, nationality, national ID or passport number, phone number, alternative contact, email, physical address, city, and country. For players: gamertag, platform, discipline, current rank, and availability. For registrants under 18: a parent or guardian’s name, relationship, phone, and email, and their recorded consent.
- Emergency contact: a named contact’s name, relationship, and phone number, collected with every registration.
- Newsletter: email address only.
- Control centre staff accounts: email and a hashed password. Accounts are created by an administrator, not self-service, so we do not collect any information beyond this to set one up.
We never ask for financial account details through these forms. A national ID or passport number is requested only on player and member registration, where it is needed to confirm identity for club and tournament administration.
Why we collect it
Registration data is used to process what you submitted: confirm your place on the roster, run the club’s competitive and membership administration, and reach you or your guardian about your application. This is processing under the agreement you enter into with the club by registering, and our legitimate interest in running a competitive team safely, including being able to reach an emergency contact if needed.
For the newsletter, we send email only because you asked us to, and you can unsubscribe at any time.
For control centre accounts, we use your email and password to authenticate you and restrict access to the parts of the site an administrator can see.
Guardians and minors
Where a registrant is under 18, we require a parent or guardian’s details and their recorded consent before the registration is reviewed. A guardian may contact us at any time to review, amend, or withdraw the registration of a minor in their care.
Who else sees it
We don’t sell your data. Afuro Knights is the competitive arm of Afurotaku and our records are stored on the same managed Postgres database as the main Afurotaku site, hosted by our database provider. Registration data is otherwise only visible to club administrators who need it to run the team or programme in question.
How long we keep it
We keep registration records for as long as you remain active with the club, and for a reasonable period after for our own records, then delete them. There is no automatic deletion schedule yet, so if you would like your data removed sooner, contact us below and we will action it manually. Newsletter subscribers are removed as soon as you unsubscribe.
Your rights
Under the Botswana Data Protection Act and, where applicable, EU/UK GDPR-style protections, you (or, for a minor, their guardian) can ask us to:
- tell you what personal data we hold about you (access)
- correct anything that’s wrong (rectification)
- delete your data (erasure), subject to any records we need to keep
- send you a copy of your data in a portable format (portability)
- stop processing your data for a particular purpose (objection), e.g. unsubscribing from email

Cookies
We use a session cookie to keep you signed in to the control centre once you log in. We also use Google Analytics to understand how the site is used, which sets its own cookies to count visits and measure traffic; this data is aggregated and not used to identify you personally. We don’t use advertising cookies and we don’t sell your data.
